Creating Personal Directories

  1. Click the Add New button.

    A dialog window appears.

  2. Choose Subdirectory and then click OK.

    A new dialog window appears.

  3. Enter the name and click OK.

Creating Persons in Personal Directories

  1. Click the Add New button.

    A dialog window appears.

  2. Choose Person and then click OK.

    The Choose subdirectory dialog window appears.

  3. Choose the target subdirectory and click OK.

    Now the fields in the detailed information area are in the edit mode allowing you to fill in the necessary information.

  4. Right-click a field to undo or save your changes.

    Note that the Undo option only applies to changes made to the field. If you decide to cancel the creation of the new person, you must remove it separately. The database entry is created when you have clicked Add new > Person > OK.

Adding Existing Items to Directories

  1. Carry out a search as described in Searching for Entries.

  2. Right-click the search result.

    A dialog window appears.

  3. Choose Copy to Subdirectory.

    A new dialog window appears.

  4. Choose the target subdirectory and then click OK.

    The item is added to the subdirectory immediately (changed in SP05).

Removing Items from Directories

  1. Carry out a search as described in Searching for Entries.

  2. Choose the search result and then either

    • Click the Delete button.

      Or

    • Right-click the search result and choose Remove Item.

    The item is removed from the directory after a slight delay.

If the removed item is no longer included in any other directory, it remains hidden in the database. The obsolete items are permanently deleted from the database during the automatic maintenance process. For further information, contact the administrator.

Deleting Directories

  1. Choose the directory.

  2. Click the Delete button.

    The directory is removed after a slight delay.
